Special Projects Coordinator

The Associated Colleges of the Midwest (ACM), a non-profit educational consortium seeks two energetic, ambitious, and creative Special Projects Coordinators to work in the downtown Chicago office.

Under new ACM presidential leadership, the organization is in the midst of strategic planning to build on its success and create the next generation of programs. The Special Project Coordinators will be integral to the daily operation of the ACM along with the opportunity to be involved in the development of new programs, partnerships, and initiatives.

Overall Purpose (Goal) of this Position

The primary focus of the position is to assist senior consortium leaders on the implementation of projects and programs, grant-funded initiatives, student programs, communications, meeting and event planning, and overall administrative duties. The position supports with the all activities of the organization. Your ability to manage multiple tasks, communicate effectively, and conduct research will be key to your success in this new role. If you have an ability to multi-task, like working on different types of projects, are interested in learning about a consortium of liberal arts colleges work collectively, or just like variety in your work, this job may be for you.

The Special Projects Coordinators will be part of a team of professionals managing programs, reporting to the Chief of Staff and working closely with other consortial staff. Occasional travel is required (estimated at less than 10%).  

Responsibilities

The Special Projects Coordinator will be responsible for the following:

·      Provide administrative support for programs and projects, including workshop/conference planning, financial tracking, and meeting planning.

·      Maintain program/project websites, social media sites, and general communications.

·      Work with faculty, staff, and students of ACM member campuses to complete assigned tasks.

·      Conduct research to inform new opportunities for programs and projects.

·      Write emails, website copy, social media posts, reports, and marketing materials for a variety of audiences.

·      Support general office administration, include audio/visual, IT, phone system, vendor management.

·      Work with finance staff on general accounting transactions.

·      Compile and circulate ACM survey data.

·      Provide excellent customer service to all ACM constituencies.

·      Other related duties and projects.

Required Qualifications

  • Bachelor’s degree.
  • Willingness to learn a variety of organizational functions.
  • Excellent oral and written communication skills.
  • Strong organizational/project management skills and extreme attention to detail and accuracy.
  • Ability to multitask and work in a fast-paced environment in an efficient, professional way.
  • Ability to build and maintain relationships in the office, and with vendors, campus contacts, and partners.  
  • Ability to be a collaborative team player and to work independently with self-direction.
  • Experience with websites, social media, professional email, and calendaring.
  • Interest in data collection, analysis, and reporting.
  • Consistent use of good judgment and discretion.
  • Familiarity with liberal arts education.
  • Ability to travel to off-site meetings in Chicago and on ACM campuses, as needed.
  • Ability to work after hours as necessary.
  • Proficiency in Microsoft Office, especially MS Excel and Word, and the ability to learn custom systems.
  • A valid driver’s license and the ability to operate a motor vehicle.

Additional Information

These are full-time, non-exempt positions in Chicago, IL; salary in the mid $30K range. The ACM offers an excellent benefits package and a flexible, stimulating environment.
